How GraceTranslate handles your church's information
Plain-English answers about what we collect, how we use it, and the controls you have. Recording is off by default, we do not sell your data, and we never use your conversations to train third-party AI models.
Introduction
This privacy policy explains how GraceTranslate collects, uses, and protects information when your church uses our real-time voice translation service, including live translation, live captions, transcripts, summaries, and auto-generated social media posts.
GraceTranslate is built for churches, and we know you are stewarding the trust of your congregation. We aim to keep this policy in plain English so that pastors, church admins, and AV volunteers can understand it without a law degree.
Please note: this document is provided as a template starting point. Before you publish or rely on it, review and adapt it with qualified legal counsel to make sure it fits your organization, your jurisdiction, and your specific use of the service.
Information we collect
We collect only what we need to run the service and support your church. The categories below describe the main types of information involved.
- Account information: the name, email address, church or organization name, and password you provide when you sign up.
- Billing information: the plan you choose and payment details needed to process your subscription and language-hour usage. Card details are handled by our payment processor, not stored by us.
- Usage data: how the service is used, such as which source language an operator selects, which languages listeners turn on, session timing, and language-hour counts used for billing.
- Audio and transcript content: the spoken audio processed during a live session and the text generated from it (captions, transcripts, summaries, and draft posts).
- Listener data: listeners join by scanning a QR code and choosing a language on their own phone. We do not require listeners to create an account or give their name.
- Technical data: device type, browser, IP address, and basic diagnostic logs that help us keep the service reliable and secure.
How we use information
We use the information we collect to deliver and improve the service, support your team, and meet our legal and billing obligations.
- To provide live translation, captions, transcripts, summaries, and social media drafts during and after your services.
- To create and manage your account and process your subscription and language-hour billing.
- To provide customer support and respond to your questions.
- To monitor reliability, prevent abuse, and keep the service secure.
- To improve the quality and accuracy of our own service, in line with the limits described in the next section.
- To send you service-related messages, such as billing notices and important updates.
Real-time processing and AI
During a live session, spoken audio is processed in real time to produce translations, captions, and voice output a few seconds behind the speaker. This processing is what makes the service work.
We do not sell your data. We do not use your conversations or congregation's content to train third-party AI models.
Recording is off by default. A live session is translated in the moment, and audio is not retained as a recording unless someone at your church explicitly turns on transcripts or recording features. You stay in control of whether content is saved.
To deliver translation and AI voice, we work with trusted processing providers. We share only what is needed for the service to function, under agreements that limit how that data may be used.
Data retention
We keep information only as long as we need it for the purposes described in this policy, or as required by law.
Account and billing records are kept for the life of your account and for the period we are legally required to retain financial records afterward.
Transcripts, summaries, and saved content are kept while your account is active and according to the settings you choose. If recording and transcripts are off, that content is not stored after the session.
When data is no longer needed, we delete it or anonymize it. You can also ask us to delete content sooner, subject to our legal obligations.
Your rights (GDPR)
If you are in the European Economic Area or the United Kingdom, you have rights over your personal data under the GDPR and similar laws. Depending on your situation, these include:
- The right to access the personal data we hold about you.
- The right to correct data that is inaccurate or incomplete.
- The right to erasure (asking us to delete your personal data).
- The right to restrict or object to certain processing.
- The right to data portability, so you can receive your data in a usable format.
- The right to withdraw consent at any time, where processing is based on consent.
- The right to lodge a complaint with your local data protection authority.
Cookies
We use cookies and similar technologies to keep you signed in, remember your preferences, keep the service secure, and understand how the service is used so we can improve it.
Some cookies are essential for the service to work. Others are optional. You can control non-essential cookies through your browser settings or any cookie controls we provide. Turning off some cookies may affect how parts of the service function.
Security
We take reasonable technical and organizational measures to protect information against loss, misuse, and unauthorized access. These include encryption in transit, access controls, and ongoing monitoring of our systems.
No method of transmission or storage is completely secure, but we work to protect your data and to respond quickly if an issue arises. If you believe your account has been compromised, please contact us right away.
International transfers
GraceTranslate operates online, and the providers we use to deliver the service may process data in countries other than your own, including outside the EEA and UK.
When we transfer personal data across borders, we use appropriate safeguards, such as standard contractual clauses, to make sure your data continues to receive an adequate level of protection.
Children
GraceTranslate is designed for use by churches and their teams, and our account holders are adults acting on behalf of their organization. The service is not directed at children, and we do not knowingly collect personal data directly from children.
Listeners join anonymously by scanning a QR code, without creating an account or providing personal details. If you believe a child has provided us with personal data, please contact us so we can address it.
Changes to this policy
We may update this policy from time to time as our service and the law evolve. When we make material changes, we will update the date below and, where appropriate, notify you through the service or by email.
